Policies & Payments

Missed Appointment and Cancellation Policy
Nickel City Animal Hospital is dedicated to providing exceptional care to all of our patients. When appointments are canceled without advance notice or missed entirely, it may prevent another patient from receiving care. For this reason, Nickel City Animal Hospital implemented a new cancellation policy effective January 1, 2023. Please review the policies outlined below.

No-Show
If an appointment is missed without contacting the office, a nonrefundable no-show fee will be applied to your account. Our team will contact you regarding the missed appointment and assist in rescheduling. After a second no-show, scheduling future exams will require payment of any outstanding fees and a nonrefundable deposit equal to the full exam fee.

Cancellations
While we understand that unforeseen circumstances may arise, we kindly ask that you provide advance notice when canceling so that we can accommodate another patient. Cancellations made within 24 hours of the scheduled appointment time are considered last-minute. Repeated last-minute cancellations will be considered a no-show and future appointments will require a nonrefundable deposit equal to the full exam fee at the time of scheduling. If you need to cancel your appointment outside of normal business hours, a message through Petdesk, or a voicemail, will be accepted as adequate notice.

Late Arrivals
We ask that clients arrive 5-10 minutes prior to scheduled appointment times to allow for parking and check in. A 15-minute grace period after the scheduled appointment time will be allowed for late arrival. A courtesy phone call is appreciated. Arrivals beyond this period cannot be accommodated and will be considered a no-show, requiring rescheduling. Repeated late arrivals will require a nonrefundable deposit equal to the full exam fee at the time of scheduling.

New Client Appointment
For new or inactive clients (those who have not been seen within the last 3 years) are required to complete the New Client Form available on our provider card and return it along with any relevant records via fax (716-847-1004) or email nickelcityvets@gmail.com. Please contact your previous veterinarian to have records sent prior to your appointment. Appointments may be rescheduled if the form or records are not received in advance.

New client appointments are available Monday through Friday. For safety, cats must be transported in carriers and dogs must be on non-retractable leashes.

Medication Refill Policy
Please allow up to five business days for medication or food refill requests. Some special requests for medication or food can take longer than the 5 business days.

Harassment Policy
We uphold a zero-tolerance policy for harassment or aggressive behavior towards our staff or clients. Any form of verbal harassment, abusive language, threatening behavior, physical assault, or similar conduct will not be tolerated and may result in immediate termination of services.

Payment
Payment is due at the time services are rendered. We accept a variety of payment options, including cash, Visa, Mastercard, Discover, American Express, Scratch Lending and CareCredit.
